Policy management that employees actually use

Replace email attachments and Google Drive folders with a structured, searchable policy portal.

📝

Policy Categories

Organize policies into categories — HR, IT Security, Finance, Operations, Code of Conduct, and custom categories. Employees browse policies by category, making it easy to find what they need without HR intervention.

👁️

Rich-Text Policy Documents

Create and edit policy documents with a full rich-text editor — headings, bullet points, tables, bold text, and embedded images. Policies look professional and are easy to read, not like old Word documents emailed around.

💡

Enable / Disable Toggle

Activate or deactivate any policy with a single toggle. Deactivated policies are hidden from employees immediately. This allows you to update policies during review without publishing incomplete drafts.

Employee Policy Browser

Employees have a self-service policy portal where they can browse all active policies by category, search by keyword, and read the full document. No more "email HR for the leave policy" requests.

📬

Suggestion Submission

Employees can submit workplace suggestions, improvement ideas, or policy feedback directly through the module. Suggestions are categorized and tracked with a reference number — giving employees a formal voice.

🗂️

Admin Approval Workflow

Every suggestion goes through a structured review — HR admins can approve, reject, or mark as under review with a response note. Employees see the status of their submissions in real time, building transparency and trust.

How it works

01

Create Policy Category

Set up policy categories that match your HR structure — leave policies, IT policies, code of conduct, etc. Categories appear in the employee policy browser as the top-level navigation.

02

Publish Policy Document

Write your policy using the rich-text editor, assign it to a category, and toggle it to active. The policy is immediately visible to all employees in the self-service portal — no emails or PDFs needed.

03

Employees Read & Suggest

Employees browse and read policies from their dashboard. When they have feedback or ideas, they submit a suggestion through the module. Admins review, respond, and close the loop — all tracked in the system.

Frequently Asked Questions

Can we track which employees have read a specific policy?

Yes. Each policy can require a "read acknowledgement" — employees must click "I have read this policy" after reading. The admin can see a list of who has acknowledged each policy and send reminders to employees who have not yet read mandatory policies.

Can we have department-specific policies that other departments cannot see?

Yes. Policies can be scoped to specific departments or roles. An IT security policy for developers can be visible only to the engineering team, while a general code of conduct is visible to all. Access control is managed by the admin.

How does the suggestion feature work from the employee side?

Employees click "Submit Suggestion" in the Policies module, fill a short form with their suggestion title, category, and description, and submit. They receive a reference number and can check the status anytime — pending, under review, approved, or declined — with the admin's response.

Can we export our policy documents as PDF for audit purposes?

Yes. Any policy document can be exported as a formatted PDF with the policy title, category, version, last updated date, and content. This is useful for ISO audits, labor inspections, or onboarding documentation packs.
